Privacy at a Glance

SP Bulk Search is designed with privacy as a core principle. Your SharePoint list content, document files, and user data never leave your Microsoft 365 tenant. We collect only the minimal information needed to validate licences and provide support.

1. Who We Are

DNG Software Pty Ltd (ABN 56 696 282 541) ("we", "our", or "us") operates the SP Bulk Search product and the website at sharepointtoolkit.com. This Privacy Policy applies specifically to the SP Bulk Search product.

Our general privacy practices (covering all products and the website) are documented in the SP Toolkit Privacy Policy. This document supplements that policy with Bulk Search–specific details.

2. What We Do Not Collect

SP Bulk Search operates entirely as a SharePoint Framework (SPFx) web part within your own Microsoft 365 environment. We do not collect, store, or transmit:

  • SharePoint list items, field values, or metadata
  • Document files, attachments, or version history
  • Search queries, filter criteria, or results
  • User profile data, names, email addresses, or Azure AD directory information
  • Site URLs, list names, or column configurations

3. What We Do Collect

3.1 Licence Telemetry

When the web part validates your subscription, our licensing service receives:

  • Tenant identifier — the Microsoft 365 tenant ID (a GUID), used to look up your licence record.
  • Aggregate usage counters — total bulk operations performed during the trial period, used to enforce trial limits. Individual operation details are not recorded.
  • Client version — the installed version of the web part, used for diagnostic purposes.

This telemetry does not include any content from your SharePoint environment or any personally identifiable information about your users.

3.2 Subscription and Billing Information

When you start a trial or purchase a subscription, we collect:

  • Your name and work email address
  • Company name (optional)
  • Tenant identifier

Payment information (credit card numbers, billing address) is handled exclusively by our payment processor, Stripe, Inc. We never store payment card details on our servers. Stripe's privacy practices are described at stripe.com/privacy.

3.3 Support Communications

If you contact us for support, we collect the information you provide (name, email, description of the issue). This is used solely to resolve your request and is retained for up to 3 years for audit and reference purposes.

3.4 Website Analytics

Our website uses Google Analytics to track aggregated visitor behaviour (page views, referrers, browser types). No personal data about your SharePoint usage is collected via analytics.

4. How We Use Your Information

  • To activate and validate your licence or trial
  • To process subscription payments and renewals
  • To send transactional emails (licence confirmation, trial expiry reminders)
  • To respond to support requests
  • To improve the product based on aggregated usage patterns

We do not sell, rent, or share your personal information with third parties for their own marketing purposes.

5. Data Storage and Security

Licence records and contact information are stored in Microsoft Azure (East US region) using Azure Table Storage. Data is encrypted at rest and in transit (TLS 1.2+). Access is restricted to authorised personnel and automated licensing services only.

6. Data Retention

Licence records are retained for the duration of your subscription and for 5 years after termination (for tax, legal, and audit compliance). Contact and support records are retained for 3 years. You may request deletion of your personal data by contacting us — see Section 8.

7. Your Rights

Depending on your location, you may have rights under applicable privacy law to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data (subject to legal retention requirements)
  • Object to or restrict processing
  • Data portability

9. Changes to This Policy

We may update this Privacy Policy periodically. Material changes will be communicated via email or an in-product notice at least 14 days before they take effect.
