Frequently Asked Questions

Find answers to common questions about SP Toolkit, migration processes, and technical details.

Getting Started

What is SP Toolkit?

SP Toolkit is an enterprise-grade migration and management solution for Microsoft 365 SharePoint. It enables you to migrate lists, document libraries, and their contents between SharePoint sites - including across different tenants. The tool runs directly within SharePoint as an SPFx web part, requiring no external servers or complex infrastructure.

How do I install SP Toolkit?

SP Toolkit is deployed as an SPFx solution package (.sppkg). Download the package from our website, upload it to your SharePoint App Catalog, and deploy it tenant-wide or to specific sites. Once deployed, add the "SP Toolkit" web part to any SharePoint page. See our Installation Guide for step-by-step instructions.

What permissions do I need to use SP Toolkit?

You need Site Collection Administrator permissions on both the source and destination sites. For cross-tenant migrations, you'll need appropriate permissions on both tenants. The app requests the minimum Microsoft Graph permissions required to read and write SharePoint content.

Is there a free trial available?

Yes! We offer a fully functional free trial that lets you migrate up to 100 items. This allows you to test the complete workflow including field mapping, data transformation, and version history migration before purchasing a license.

Migration Process

What types of content can I migrate?

SP Toolkit supports migrating SharePoint lists (custom lists, calendars, tasks, etc.) and document libraries. This includes all list items, documents, metadata, version history, and attachments. We support 25+ field types including complex types like Lookup, Managed Metadata, and Person/Group fields.

Can I migrate between different tenants?

Yes! Cross-tenant migration is a core feature included in all licensed versions. You can migrate content from one Microsoft 365 tenant to another with secure authentication to both tenants.

How does field mapping work?

SP Toolkit provides intelligent field mapping with AI-powered suggestions. When the source and destination lists have different column structures, the tool analyzes field names, types, and content to suggest optimal mappings. You can also manually configure mappings and save them as profiles for reuse.

Is version history preserved during migration?

Yes, SP Toolkit can migrate complete version history for both documents and list items. You can choose to migrate all versions, a specific number of recent versions, or just the current version.

What happens to lookup fields during migration?

Lookup fields are handled intelligently. The tool can migrate lookup relationships by matching lookup values in the destination, creating new lookup items if needed, or converting lookups to text. Our circular lookup detection prevents issues with complex lookup relationships.

Can I transform data during migration?

Yes! Data Transformation Rules allow you to modify data during migration. You can apply text transformations (uppercase, lowercase, trim), date adjustments, value mappings, conditional logic, and even custom formulas. Rules can be saved and reused across migrations.

Features & Capabilities

What is the AI Field Mapping feature?

AI Field Mapping uses machine learning to analyze source and destination fields and suggest optimal mappings based on field names, types, sample data, and usage patterns. It can identify matches even when field names differ (e.g., "Customer Name" to "Client"), saving significant time on complex migrations.

How do Migration Profiles work?

Migration Profiles let you save your complete migration configuration - including source/destination selections, field mappings, transformation rules, and options. You can export profiles as JSON files to share with colleagues or import them on different sites for consistent migrations.

What reporting is available?

SP Toolkit provides comprehensive migration reports including: items migrated/failed counts, field mapping summary, transformation rules applied, version history details, and any errors encountered. Reports can be exported and are useful for compliance documentation.

Does the tool support incremental migration?

Yes, you can run incremental migrations to sync changes from source to destination. The tool tracks what has been migrated and can update modified items or add new items without duplicating existing content.

Technical & Security

Where does my data go during migration?

Your data is transferred directly between SharePoint sites using Microsoft Graph APIs. No data is stored on external servers. The tool runs entirely within your browser and SharePoint environment, ensuring your content never leaves Microsoft's infrastructure.

What authentication methods are supported?

SP Toolkit uses Microsoft's standard authentication through MSAL (Microsoft Authentication Library). For same-tenant migrations, it uses your current SharePoint session. For cross-tenant migrations, you authenticate separately to each tenant with full OAuth 2.0 security.

Is the tool compliant with enterprise security requirements?

Yes. SP Toolkit is built on Microsoft's SPFx framework and follows Microsoft security best practices. It undergoes regular security reviews, uses only necessary API permissions, and supports your existing Microsoft 365 security policies including Conditional Access and MFA.

What are the system requirements?

SP Toolkit requires: SharePoint Online (Microsoft 365), a modern browser (Edge, Chrome, Firefox, Safari), and appropriate user permissions. There are no additional server requirements. The tool works on both Windows and Mac operating systems.
